Why is this role important?
The Operations Coordinator, working within a matrix team, is responsible for coordinating, maintaining and monitoring key ITS operational objectives and activities in support of ITS service delivery. The Coordinator is responsible for providing oversight and monitoring of key operational activities, prepares status reports and regular updates for management; liaises with and develops communications for a variety of internal clients and stakeholders.
What you'll do
- Under the direction of the Team Lead, Commitments and Planning, the Coordinator will be responsible for leading small scale ITS operational activities related to system enhancements and maintenance work.
- Coordinates and monitors all operational and logistical aspects related to ITS operational activities included but not limited to arranging meetings, preparing upgrade and release schedules, Gantt charts and obtaining required approvals. Provides regular status updates and communication plans to the relevant ITS Managers and Directors to ensure timelines and deliverables are on track.
- Proactively monitors Gantt charts and communicates with the teams on upcoming deliverables, highlighting variances in a timely manner.
- Provides support to the ITS Technical Leads and/or Managers in planning and management of technology and infrastructure upgrades as part of the broader implementation of the IT Roadmap to manage CIHI’s technology risk.
- Maintains and revises support documentation through Confluence with input from the ITS development teams.
- Coordinates timely approvals and sign-off of relevant operational deliverables and related supporting documentation.
- Facilitates Lessons Learned and After-Action reviews with the relevant teams and actions feedback where appropriate for improved service delivery.
- Prepares Request for Proposals (RFP), Statements of Work (SOW) including liaising with corporate administration, scheduling interviews and obtaining required signatures. Monitors External Professional services (EPS) and contract activities, including tracking timesheets, invoices and payments, tracking internal transfers and resolving discrepancies.
- Manages the ITS Intake Mailbox and supports the Manager, Commitments and Planning with the coordination of estimates for new intake requests.
- Participates and assists with the annual refresh and delivery of the IT Roadmap. Prepares and analyzes data related to resource utilization for CIHI products and services.
- Liaises with internal clients and stakeholders and clearly communicates, as is necessary, all system impacts and dependencies related to the relevant system enhancements or maintenance work.
- Provides administrative support when required.
- Assumes responsibilities for other related duties as assigned by the Team Lead and/or Manager, Commitments and Planning.
What you'll bring to the table
- Undergraduate degree or college diploma in business administration or a related discipline. Project Management designation an asset (e.g. PMP or CAPM).
- Three to five years’ experience in operations coordination and monitoring.
- Basic knowledge of IT System Development Lifecycle methodologies and related processes.
- Self-directed, innovative, and able to work with minimal supervision, while working effectively within a large team.
- Demonstrated experience with activity/project schedules, status reporting, budgets and risk and issue logs.
- Proficiency in all MS Office Suite products, experience using MS Project is an asset.
- Familiar with project management principles and the project management lifecycle.
- Strong organizational skills with a demonstrated ability to manage multiple tasks, activities and priorities.
- Excellent verbal and interpersonal communication skills.
- Strong conceptual and problem-solving skills.
- Fluency in both official languages is an asset.
