ABOUT THE COLLEGE OF KINESIOLOGISTS OF ONTARIO
The College of Kinesiologists of Ontario (CKO) is the provincial regulatory body mandated by legislation to protect the public by ensuring that kinesiologists operating in the province are qualified, ethical, competent, and accountable.
The Role
The College is seeking an experienced administrative professional to oversee daily administrative tasks and support senior leadership, the Council, and its committees.
Duties and Responsibilities
Under the direction of the Director of Operations and Financial Services, the Executive Assistant will:
- Provide administrative support to the Registrar by managing scheduling, assignments and follow-up.
- Support other senior staff with general office administration.
- Coordinate and assist in the preparation of materials for Council, committee and staff meetings, peer and practice assessments, and discipline hearings.
- Take minutes of Council, committee and staff meetings.
- Respond to general inquiries and calls from the public.
- Create purchase order requisitions, code and process invoices, and process expense reports.
- Set up and maintain filing systems and maintain inventory of supplies as required.
- Assist with the preparation of weekly/monthly reconciliation reports.
- Manage intake and tracking of staff monthly timesheets and leave balances.
- Make travel arrangements, booking accommodations and prepare claims for expenses for approval.
- Carry out basic research related to the development of policies and to support Committee decision-making.
- Develop requests for services and manage responses with the direction of senior staff.
Your Skills and Experience
- Post-secondary training in a relevant field is strongly preferred.
- At least 3+ years’ experience in an administrative role.
- Experience supporting Boards of Directors and governance committees is strongly preferred.
- Proficiency in MS Office, and particularly Excel. High level of comfort learning new computer applications and working with databases.
- Excellent communication and interpersonal skills.
- Previous minute and note-taking experience strongly preferred.
- Excellent writing experience with exceptional detail to spelling and grammar.
- Unfailing attention to detail.
- Ability to work independently with minimal supervision.
- Professional demeanor and ability to maintain confidentiality.
